General Information and Conditions

Reservations and Payments

Reservations are secured with a deposit of $500 per person, and are accepted in order of their receipt.  Telephoned reservations are accepted provided they are followed by the appropriate deposit within 7 days.  Final payment is due 90 days prior to departure of the safari.  Bookings made within 90 days require full payment. 

Payments can be made by check or credit card.  Credit cards are accepted for payments for safaris with photocopy of front and back of credit card (showing signature of credit card holder), and  photocopy of passport (showing signature of passport holder). There will be a 4.5% surcharge added to credit card charges.

Price increases may occur unexpectedly. In costing safaris months in advance we try to anticipate the rising cost of airfares, ground transportation and lodging, but if unexpected increases occur we reserve the right to charge participants an increase of up to 10% of the tour price. If greater increases are necessary, participants may withdraw without penalty. All prices on this website were calculated using exchange rates in effect on 1 September 2005 and apply to 2006 safaris unless otherwise noted.

Refunds for tours are made as follows:

  • If notice of cancellation is received more than 90 days before departure, the deposit and any additional payments, less $150, are refundable.
  • If notice of cancellation is received between 90 and 60 days before departure, the $500 deposit is not refundable but any payment covering the balance of the tour price will be returned.
  • If notice of cancellation is received between 59 and 45 days before departure, we will refund separable costs such as room charges, insofar as monies are returned to us by the providers of these services. We cannot refund inseparable costs such as those for vehicle rental, leaders' expenses or other fixed-cost services. In most cases the refundable portion will be 50%.
  • If notice of cancellation is received less than 45 days before the safari departure, we will be unable to refund any of the costs.top

Travel Insurance

We highly recommend purchasing travel insurance. It can give welcome protection to those for whom a health-related trip cancellation is a concern. Travel insurance also usually protects you in the event of your falling ill while on the tour. Travel insurance is purchased separately, and we can recommend some providers. top

What the Safari Price Includes

The price for tours includes all travel as noted in the itinerary, lodging in comfortable lodges, all camping equipment and tents, all meals unless otherwise noted, tour materials and the services of the leader(s). Routine tips for included meals, porters, guides and other service providers are included. The price does NOT include international airfare, though it does include any air travel that occurs during the safari after arrival at the safari starting point.

The Single Occupancy Supplement listed for each tour provides a single room throughout the tour unless otherwise noted. Certain small lodges will not provide single rooms if they are heavily booked. In such cases, the portion of the Single Occupancy Supplement applicable to the lodge or lodges will be refunded.

Unless a single room is specifically requested on your reservation form, all registrants will be assigned a suitable roommate. If a roommate is unavailable, a single room will be provided and the Single Occupancy Supplement assessed.

Baggage handling assistance is provided by our hotels or by the leader(s) when necessary.

The following items are not included in the tour price: passports, visas, departure taxes, immunizations, excess baggage charges, optional excursions, telephone calls, alcoholic beverages, room service, snacks and anything of a purely personal nature. Trip Alterations

Changes in itinerary may occur even though our tours are carefully planned. If major changes are necessary before the start of the tour, participants will be informed and may withdraw without penalty if they so choose. If during the safari changes in the itinerary are required due to road conditions, weather, strikes or political crises, the additional costs, if any, are the responsibility of the participant.  top

Restrictions on Participation

Restrictions on participation are a matter of common sense and we have no absolute ones. If you have a health problem or any physical limitation which may hamper or restrict your full involvement in any aspect of the safari, or about which we should be aware for your safety (e.g. walking difficulties, diabetes, asthma, angina, etc.), please advise us in detail and in writing at the time you reserve space. We will provide any information that you or your doctor may need to judge your capacity to participate fully in the safari. We do not normally program strenuous physical exercise, but there are days that climbs up a mountain or a good walking safari is available. Participants should be able to complete gentle walks of one-half day's duration, ride in any seat in tour vehicles and meet the simple schedule of the tour. We reserve the right to send home persons unable or unwilling to conduct themselves in a manner compatible with the satisfactory operation of the tour.

Trip Cancellation

We reserve the right to cancel any safari or safariextension for which there are insufficient reservations 10 weeks (70 days) before the departure date. In case of cancellation, all deposits and other payments for the safari or safari extension will be refunded. Participants should note that the cancellation of a safari's  extension does not alter their rights and obligations with respect to the core portion of the same safari. top

Trip Materials
Checklists and information for packing for the safari will be mailed with the invoice, about two weeks after payment of the deposit. Final tour information, meeting instructions, participant list and additional material, if any, will be mailed about four weeks before safari departure.  top

The Pace of Our Safaris

All activities are optional within the general framework of the safari. We encourage and assist participants in the pursuit of personal aims if these do not conflict with the conduct of the safari. We do these safarais for the fun, so if any member of the safari is not enjoying it, we want to know so that measures can be taken. top

Travel to Point of Safari Departure

Often people are interested in remaining in-country a few extra days to explore on their own after the safari, and/or to stop off in Europe on the way back. This is easily arranged and changes can be made in either your inbound or return flights to allow extra time in Europe or Africa.

Since most people like to book their trips in combination with other travel, the international airfare is booked separately and is NOT part of the safaris cost. The round-trip fare in 2005 from San Francisco to Tanzania was about $1,500, though it looks like it will be increasing a bit in 2006. We have arrangements with Travel for Less in Sacramento, California to coordinate air travel with our itinerary. They have been very successful in the past for getting very good air fares. TERMS AND CONDITIONS

 

Release of Liability & Assumption of Risk

 

PLEASE READ CAREFULLY

 

 

I the undersigned (hereinafter referred to as 'Client') understands that I am required to read carefully this Release of Liability and Assumption of Risk form and if agreed, to sign it before Your Vacation Center, LLC, a California Limited Liability Company, doing business as Your Vacation Center, having its principal place of business at 2222 Watt Avenue, Suite B4, Sacramento, California, 95825 (hereinafter referred to as 'Company') accepts a deposit confirming my reservation. I accept that Company will assist or advise me, to the best of their ability, with pertinent information regarding passports, visas, and international health requirements, but it is my responsibility to ensure that passports, visas, travel permits, health certificates, inoculations, or other documentation required are obtained, current, and in order.

 

Company recommends that I obtain travelers insurance, which should include accidental death and disability, major medical, emergency medical evacuation, trip delay, trip cancellation/interruption, loss of baggage & personal effects, and trip cost default protection. I understand these policies are commercially available.

 

I am aware that adventure travel, whether in civilized or remote areas, by air carrier, train, auto, boat, horseback, camelback, other conveyance, or on foot, contains inherent risks of illness, injury, death, or loss and damage of property, which may be caused by negligence of others, terrorism, forces of nature, and other causes known or unknown. I am also aware and assume that the risk that medical services or facilities may not be readily available during the time I am participating in this trip. I consent to and request the use of the travel suppliers providing the travel services, and I agree not to hold Company responsible should there be a failure by any of these suppliers to provide the travel services I have purchased. I hereby represent to Company and assure Company, that my health status is such that I shall be able to engage in all aspects of this trip, and I am in good physical condition, and excellent general health.

 

I understand and agree that Company acts only as agent for the air carriers, private aircraft, helicopters, hotels, bus companies, railroads, cruise lines, car rental companies, tour operators, and other contractors providing accommodations, transportation and/or other services ('suppliers'). All such services are furnished by suppliers that are independent and do not act for or on behalf of Company, are not servants of Company, and with whom Company does not have a business as joint venture or otherwise.

 

By utilizing the services represented by this itinerary, Client agrees to the foregoing, and also agrees that neither Company nor its parent, affiliates, or subsidiaries, officers, directors, and/or shareholders shall be or become liable for any loss, costs, expense, injury, accident or damage to person or property resulting directly or indirectly from (I) the acts of omissions of such suppliers, including, but not limited to, delays or cancellation of services, cessation of operations, breakdown in machinery or equipment, changes in fares, itineraries or schedules, failure to deliver services, accommodation in tents, and/or (ii) acts of God, dangers incident to the sea, water travel, trekking, explosions, fire, acts of government or other authorities, wars declared or undeclared, acts of terrorism, civil commotions, civil unrest, strikes, riots, thefts, pilferage, epidemics, quarantines, other disease, climatic aberrations, or from any other cause beyond Company's control.

 

I understand and agree there is no warranty or guarantee of my personal safety by Company, as the trip I am undertaking is by its very nature exotic and adventurous, and contains certain built-in-risks.

 

All services covered by this itinerary are subject to the terms and conditions specified by the suppliers, and Client also agrees to the terms and conditions set forth in any and all brochures or advertisements describing any tour, cruise, accommodations, transportation or other services, and to any and all conditions contained in documents for any such services including, without limitation, all cancellation fees. No employee of Company or any of its affiliates, subsidiary companies, or representatives has authority to vary the terms of these conditions.

 

In consideration of, and as part payment for the right to participate in this trip, and the activities, services, and food arranged for me, I certify that I have read all of the above and fully understand its contents. I agree to release and hold Company, it officers, owners, employees harmless for any accidents, claims, losses, damages or liabilities, including death, disability, injury, or loss or damage to myself or my property, which might occur. I expressly assume any and all risks with respect to the activities and circumstances described herein, and pledge not to sue Company on account of any losses, claims, costs, liabilities or damages, and further, I agree not to claim the unenforceability of this Agreement. I agree that the foregoing obligation shall be binding upon me personally, as well as upon my heirs, executors and administrators, and members of my family, and shall also be binding upon any minors accompanying me.

 

I agree that if any provisions of this Explanation of Responsibility, Release of Liability and Assumption of Risk ('Agreement') is held invalid or unenforceable, such invalidity or unenforceability shall not affect any other provision, and this Agreement shall be construed as if such invalid provisions had never been set forth herein.

 

 

PAYMENT SCHEDULE

 

A deposit of $500.00 per person is required at time of booking to reserve your space on the Safari. Final payment is due in our office 75 days prior to departure of the Safari. Bookings 74 days or less require full payment.

 

Price increases may occur unexpectedly. In costing tours months in advance we try to anticipate the rising cost of ground transportation, lodging, etc., but if unexpected increases occur we reserve the right to charge participants an increase of up to 10% of the tour price. If greater increases are necessary, participants may withdraw from the trip without penalty.

 

 

CANCELLATION PENALTIES

 

Cancellation penalties will be charged to the client based on the following fees:

         90 days or greater $150 per person

         89 - 60 days in advance $500 per person

         59 - 45 days in advance 50% of payments

         44 - 0 days in advance 100% of payments

 

 

CREDIT CARD ACCEPTANCE

 

Credit Cards can be accepted for payments for Safaris with the following required items:

           Photo copy of passport (showing signature of passport holder)

           Letter of Authorization to charge credit card

           There is a 4.5% surcharge on credit card charges
